AI is a tool, and tools follow problems.</p><h3>Start with the bottleneck</h3><p>Before evaluating anything, answer one question: what is the task that eats the most hours for the least return? Quoting. Invoice entry. Sorting the support inbox. Chasing paperwork. That answer is specific to your business, and it is where any real gain will come from.</p><p>If you cannot name the task, you are not ready to buy the tool.</p><h3>Then check the data</h3><p>Most disappointing AI results trace back to the same thing: the information the tool needs is scattered across three systems, half of it out of date. Cleaning that up is unglamorous work, and it is usually where the actual return lives, with or without AI.</p><h3>Then think about who is accountable</h3><p>Any system that touches customer data, quotes or money needs a person who checks its output and a rule for what happens when it is wrong. Decide that before rollout, not after the first bad answer reaches a customer.</p><h3>A reasonable way in</h3><ul><li>Pick one process, not five.</li><li>Measure how long it takes today.</li><li>Run a small pilot with a handful of people.</li><li>Compare, honestly, and be willing to stop.</li></ul><p>Slow beats spectacular here. It feels safe because the people up front have rehearsed the thing going wrong hundreds of times, in a simulator, on an ordinary Tuesday, long before it counted.</p><p>Business continuity is the same discipline. The plan is not the point. The rehearsal is.</p><h3>What we see when it has not been rehearsed</h3><p>The plan exists. It is a document. It names a backup system nobody has restored from, lists a phone number for someone who left two years ago, and assumes the person who wrote it is available. On the day, none of that holds.</p><h3>Four questions worth answering now</h3><ul><li><strong>How long can you actually be down?</strong> Not the comfortable answer. The one where you start losing customers.</li><li><strong>How much work can you afford to lose?</strong> That number sets how often backups need to run.</li><li><strong>Who decides?</strong> Someone has to call it, and a deputy has to exist for when they are on holiday.</li><li><strong>How will you talk to people?</strong> If email and the phones are the thing that is down, the plan cannot depend on email and the phones.</li></ul><h3>Then test it</h3><p>Restore a real file from a real backup and time it. Fail over to the secondary connection during business hours and watch what breaks. Read the plan aloud with the people named in it. Every rehearsal we run turns up at least one assumption that was quietly wrong, and finding those on a scheduled Tuesday is enormously cheaper than finding them at 2am.</p><p>Preparation is not pessimism. Flying feels safe because pilots rehearse the bad day for years before it arrives. Business continuity works the same way, or it does not work at all.

<p>Almost every business that loses data had backups running. That is the uncomfortable part. The failure is rarely the backup itself, it is one of a small number of beliefs about it that turn out not to be true.</p><h3>Myth one: it ran, so it worked</h3><p>A green tick means a job completed. It does not mean the data inside it is usable. Backups fail quietly all the time: a database file locked open, a folder added last year that nobody included, an archive that turns out to be corrupt. The only proof is a restore. Do one, on a schedule, and time it.</p><h3>Myth two: the cloud backs itself up</h3><p>Microsoft 365 and Google Workspace protect their infrastructure, not your content. Delete a mailbox, get hit with ransomware that syncs, or lose a departing employee's files past the retention window, and the provider is under no obligation to bring any of it back. Cloud data needs its own backup.</p><h3>Myth three: one copy is enough</h3><p>A backup sitting on a drive in the same building as the server does not survive a fire, a flood, or ransomware that encrypts everything it can reach. Keep more than one copy, keep one off-site, and keep at least one that the network cannot write to.</p><h3>Myth four: recovery will be quick</h3><p>How long does a full restore take? Most people guess in hours and are out by days once you count downloading the data, rebuilding the server and reconnecting the applications. Measure it once so the number you plan around is real.</p><h3>The cost</h3><p>The invoice for a bad backup is never just the data. Choose one system that would genuinely hurt to lose, the accounting file, the customer database, the shared drive. Then, without touching production, recover it from backup as though it were gone.</p><p>Watch for the things that only surface under real conditions:</p><ul><li>Does anyone know where the backups live, and who has the credentials?</li><li>Does the restore actually complete, or does it fail two hours in?</li><li>How current is the recovered copy, really?</li><li>Do the applications reconnect, or does something else need reconfiguring first?</li><li>How long did the whole thing take, start to finish?</li></ul><h3>Write down what broke</h3><p>Something always does. A missing password, a step nobody documented, a system that was never in scope. That list is the actual output of the exercise, and it is worth more than the plan you started with.</p><h3>Then do it again</h3><p>Once a year, at minimum, and after anything significant changes. A drill that has not been run since the last server was replaced is not a drill, it is a memory.</p><p>The businesses that recover quickly are not lucky, and they are not the ones with the most expensive tools. Answering incorrectly, even honestly, can put a claim at risk.</li><li><strong>Remediation under pressure.</strong> Fixing a control on a deadline costs more than maintaining it did.</li></ul><h3>What good looks like</h3><p>A current list of the controls that apply to you. Evidence collected as a matter of routine rather than assembled in a panic. Someone accountable for reviewing exceptions. And an assessment often enough that findings are small.</p><p>None of that requires a large budget.
